Privacy Policy

CoGM ("CoGM", "we", "us") is a guild-management platform for gaming communities, made up of the web dashboard at cogm.app and the CoGM Discord bot. This policy explains what we collect, why we collect it, and the choices you have. Questions? Email [email protected].

1. Information we collect

  • Discord account. When you sign in with Discord we receive your Discord user ID, username, display name, avatar, and email address. We also request the "guilds" scope so we can show which Discord servers you can set up with CoGM. We do not read your direct messages or the contents of channels the bot has not been added to.
  • Content you and your community create. Community and guild names, member rosters, character names and in-game stats, gear screenshots (which we process with optical character recognition to read stats such as AP and DP), event and combat logs, applications, support tickets, announcements, and other content you submit through CoGM.
  • Billing information. Payments are processed by Stripe. We store a Stripe customer ID and your subscription status. We never receive or store your full card number.
  • Usage and technical data. IP address, browser and device information, and log data. We use a single session cookie to keep you signed in.

2. How we use your information

  • Operate the dashboard and the Discord bot and provide the features you use
  • Process payments and manage subscriptions and trials
  • Keep the service secure and prevent abuse
  • Respond to support requests
  • Improve and develop features

3. How we share information

We do not sell your personal data. We share it only with service providers that help us run CoGM, and only as needed to operate the service:

  • Discord (authentication and bot functionality)
  • Stripe (payment processing)
  • OVHcloud (hosting; our servers are in Canada)
  • Google Cloud Vision (gear screenshot OCR)
  • Blizzard (only if you connect a World of Warcraft account)
  • Our email provider (account and billing notifications)

We may also disclose information if required by law, or to protect the rights, safety, and security of CoGM and its users.

4. Data retention and deletion

We keep your information while your account or community is active. You can delete your community or account at any time from the dashboard, or by contacting [email protected]. When you delete a community we remove its data, subject to limited retention required for legal, security, or accounting reasons such as billing records.

5. Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise these rights, email [email protected]. You can also manage much of your data directly in the dashboard.

6. International users

CoGM is hosted in Canada. If you access CoGM from outside Canada, your information will be processed in Canada and in other countries where our service providers operate.

7. Security

We protect your data with encryption in transit and at rest, access controls, and reputable infrastructure providers. No system is perfectly secure, but we work to keep your information safe.

8. Children

CoGM is not directed to children under 13, and you must meet Discord's minimum age requirement to use it.

9. Changes to this policy

We may update this policy from time to time. We will change the "last updated" date above and, for material changes, provide additional notice.
